How to manage creator usage rights for videos
This article will cover everything about managing usage rights for videos internally.
The Usage Rights section allows you to track, control, and manage how a video can be used across your store and campaigns.
This is especially important for UGC, influencer content, licensed videos, and paid collaborations.
All usage rights settings are managed directly inside the Video Modal.
Where to Find Usage Rights
- Go to Media Library
- Click on a video to open the Video Modal
- Open the Info section
- Expand Usage rights
Source Information
At the top of the section, Videowise shows how the video was added.
You can see:
- Source (for example: Upload or social import)
- Source identifier (such as a username or ID)
- Import date and time
This information is read-only and helps track the origin of the content.
Usage Rights Status
This indicates whether the video currently has permission to be used.
When granted, usage permission is confirmed. You can click Change to update the usage rights status to No Usage Rights at any time.
This status helps teams quickly understand whether a video is safe to publish.
Expiration Time
Controls how long the video can be used, depending on the agreement made with the video’s creator.
Available options include:
- Unlimited usage
- A specific expiration date
If an expiration date is set, the video will be considered expired once that date is reached.
Auto-Remove Expired Videos
When enabled, Videowise will automatically remove videos whose usage rights have expired.
This helps:
- Keep expired content out of live widgets
- Maintain compliance at scale
Manage Expiration Notifications
You can manage notifications related to expiring usage rights. Click on “Manage expiration notifications” to open notifications settings, and turn on “Enable media expiration notifications”.
These notifications help teams:
- Prepare replacements
- Renew permissions
- Avoid last-minute removals
Usage Rights Type
This section defines how the video is allowed to be used.
You can select one or more of the following:
- Commercial use
The video can be used in paid placements, ads, and promotional content.
- Organic / editorial use
The video can be used in non-paid, organic content such as product pages or editorial sections.
- Internal use
The video can only be used internally (for example, previews or internal reviews).
These selections help clarify allowed usage across teams.
Notes
Use the Note field to store additional context.
This is useful for:
- Special permissions
- Credit requirements
- Creator agreements
- Campaign-specific limitations
Notes are internal and not visible to shoppers.
Proof of Permission
You can upload supporting documentation as proof of usage rights.
Examples include:
- Signed agreements
- Usage consent screenshots
- Licensing documents
Uploaded files help centralize compliance information directly with the video.
Best Practices for Usage Rights
- Always set usage rights for UGC and influencer content
- Use expiration dates when permissions are time-bound
- Enable auto-remove for large libraries
- Add notes for special conditions or credits
- Upload proof of permission whenever possible

Frequently asked questions
Who is responsible for ensuring usage rights are properly set in Videowise?
As stated in Videowise's Terms of Service, you (the client) take full responsibility for the content you upload or import and the videos you publish on your store. Videowise never publishes content without your consent. It is your responsibility to ensure you have the appropriate rights for any video before publishing it.
Can I set an expiration date for a video's usage rights?
Yes. In the Usage Rights section of the Video Modal, you can choose between unlimited usage or set a specific expiration date. This is especially useful for time-bound creator agreements or licensed content where permissions are only valid for a defined period.
What happens to a video when its usage rights expire?
If the Auto-Remove Expired Videos toggle is enabled, Videowise will automatically remove the video from live widgets once its expiration date is reached. If auto-remove is off, the video will be marked as expired but will remain in place until you manually remove it.
What types of usage rights can I assign to a video?
Videowise supports three usage right categories: Commercial use (for paid placements and ads), Organic/editorial use (for non-paid product pages and organic content), and Internal use (for previews or internal reviews only). You can select one or more types per video to clearly define how it can be used.
Can I upload proof of permission for a video directly in Videowise?
Yes. The Usage Rights section includes a file upload field where you can attach supporting documentation such as signed agreements, consent screenshots, or licensing documents. This centralizes compliance information directly alongside the video.
